Customer Review Email Template That Filters Bad Reviews (Klaviyo Setup)

Why a Generic Customer Review Email Template Fails
Type customer review email template into Google. You get 50 results that all look the same. Hi [Name], please leave us a review. Big button. Link to Trustpilot.
These templates fail for one reason. They send every customer, including the unhappy ones, straight to a public review page. You get a flood of one-star reviews you cannot remove.
The customer review email template that actually works does not look like that. It uses star-rating buttons inside the email and routes customers based on their answer. Happy customers go to Trustpilot. Unhappy customers go to your support team.
After 2,000+ Klaviyo flow setups, this is the only template Ecomflows still recommends.
What a High-Converting Customer Review Email Template Looks Like
Here is the exact structure. Subject line, preview text, body copy, star buttons, follow-up logic. Copy this directly into Klaviyo.
Subject Line Options (test 3, pick the winner)
- How was your [product name]?
- Quick question, [first name]
- [First name], your honest opinion?
These work because they sound like a real person asking a real question. Not a bot asking for a favor.
Preview Text
- We want to make sure you got exactly what you expected
Body Copy (under 80 words)
Hey [First name],
You ordered [Product] about two weeks ago. Hopefully you have had a chance to use it.
How was your experience? Tap the stars below.
[5 star buttons]
We read every reply.
[Founder first name]
Notice. No salesy language. No leave us a 5 star review please. Just an honest ask.
The 5 Star Buttons (the smart filter)
Each star is a clickable image with a unique URL. Use UTM parameters so you can track in Klaviyo and GA4.
- 1 star button: links to /support?rating=1
- 2 star button: links to /support?rating=2
- 3 star button: links to /support?rating=3
- 4 star button: links to /trustpilot
- 5 star button: links to /trustpilot
The /support page is a short form: Sorry to hear that. What went wrong? We will fix it within 24 hours. The /trustpilot link redirects to your real Trustpilot review page.

Notice the pattern. Personal. Honest. No sales push. Star buttons inline. No external links to a generic review page.
How to Build This in Klaviyo (Step by Step)
- Create a flow with trigger Order Placed or Order Fulfilled
- Add a 15 day time delay
- Add an email block. Use Klaviyo's drag-and-drop or the source code editor
- In the email, drop 5 image blocks side by side. Each image is a star (use free icons from Lucide or download Klaviyo's review block)
- Each star image links to a unique URL with UTM parameters
- 1 to 3 stars go to /support. 4 to 5 stars go to /trustpilot
- Add a 7 day follow-up email that only sends to customers who did not click any star
Whole flow takes 60 to 90 minutes to set up the first time. Runs forever after that.
What to Put on the /support Page
When an unhappy customer clicks 1 to 3 stars and lands on /support, they need a clear path forward.
- One sentence apology
- One short form (name, email, what went wrong)
- A promise: We respond within 24 hours and fix the issue at no extra cost
No upsells. No discount codes. Just a clear path to resolution. Solve the issue privately. The customer often becomes a 5 star reviewer once you handle the problem.
Tracking and Optimization
Add UTM parameters to every star button. Pull the data into Klaviyo or GA4 weekly.
- Track click rate per star
- Track conversion rate from 4-5 star clicks to actual Trustpilot reviews
- Track resolution rate from 1-3 star clicks
After 30 days you will have enough data to optimize subject lines, send timing, and the follow-up email.
Common Mistakes to Avoid
- Sending the email too early (before delivery), customers skip the ask
- Linking all stars to the same review page (defeats the filter)
- Forgetting the follow-up email (you lose 30 to 50% of potential reviews)
- Using corporate jargon (kindly provide your feedback), kills response rate
- Asking for a 5 star review please, customers feel manipulated and bounce
Get these five things right and the customer review email template becomes the highest-leverage email in your store.
